At Acorn Media, we understand how essential email communication is for your business. This guide is designed to help you set up and access your email account for the first time. With straightforward, step-by-step instructions, you'll be able to get started quickly and efficiently. Let’s ensure your email is up and running smoothly from day one!
Setting Up Your Email with Outlook
Getting started with Outlook is simple and ensures seamless integration with your email account. Begin by opening Outlook on your device and navigating to the Add Account section. Enter your email address and select Advanced Options to configure your settings manually, if required. You’ll need to input the incoming and outgoing server details provided by Acorn Media, along with your account credentials. Once complete, click Finish to finalise the setup. Your emails will now sync automatically, and you’ll have full access to your inbox and features.
Step 1 - Open Outlook
Launch Outlook on your device. If it’s your first time using Outlook, you’ll be prompted to add an account straight away.
Step 2 - Go to Account Settings
If Outlook is already set up with another account, click on File in the top-left corner, then select Add Account.
Step 3 - Enter Your Email Address
Type your full email address in the provided field. In most cases, you just need to click Connect, and Outlook will handle the setup automatically. If you need to configure settings manually, tick the box for Advanced Options and select Let me set up my account manually.
Step 4 - Select Account Type
If your email was created by Acorn Media as part of your website package, select IMAP. This ensures your emails are stored on the server and synced across devices. For other accounts, choose the type that matches your setup (e.g., POP or Exchange).
Step 5 - Server Settings
If prompted, enter the following:
- Incoming mail server: (your website here, e.g. acorn-media.co.uk)
- Outgoing mail server: (your website here, e.g. acorn-media.co.uk)
Step 6 - Enter Your Login Information
Enter the password provided to you, and Outlook will add your email account to the software.
Setting Up Your Email with Thunderbird
Step 1 - Open Thunderbird
Launch Thunderbird on your device. If it’s your first time using the application, you’ll be prompted to set up a new email account.
Step 2 - Access Account Setup
If Thunderbird is already set up with another account, click on the Menu button (☰) in the top-right corner. Select Account Settings and then Add Mail Account from the bottom of the page.
Step 3 - Enter Your Account Details
In the setup window, enter the following:
- Your Name: The name you want to appear on outgoing emails.
- Email Address: Your full email address.
- Password: The password provided by Acorn Media or your email provider.
Step 4 - Let Thunderbird Detect Settings
After entering your details, click Continue. Thunderbird will attempt to detect your email settings automatically.
Step 5 - Manually Configure Settings (If needed)
If automatic detection fails, select Manual Config and enter the following server settings:
- Incoming Server: Choose IMAP (recommended) or POP.
- IMAP Server: mail.yourdomain.com
- Port: 993 (SSL/TLS)
- Outgoing Server (SMTP): smtp.yourdomain.com
- Port: 465 (SSL)
- Username: Your full email address.
Step 6 - Test Settings
Click Re-test to ensure the settings are correct. Thunderbird will verify the configuration and notify you if any adjustments are needed.
Step 7 - Complete Setup
Once the settings are confirmed, click Done. Your email account will now be added to Thunderbird.
Step 8 - Sync Your Account
Thunderbird will begin syncing your emails. You’ll now be able to send and receive emails directly through the application.
Setting Up Your Email with Gmail
Step 1 - Log in to Gmail
Open your web browser and go to gmail.com. Log in to your Gmail account.
Step 2 - Access Gmail Settings
In the top-right corner of Gmail, click on the gear icon (⚙️) and select See all settings from the dropdown menu.
Step 3 - Go to the Accounts and Import Tab
In the settings menu, click on the Accounts and Import tab.
Step 4 - Add a Mail Account
Under the Check mail from other accounts section, click on Add a mail account.
Step 5 - Enter Your Email Address
A new window will appear. Enter the full email address of the account you want to add (e.g., yourname@yourdomain.com) and click Next.
Step 6 - Select Account Type
Choose the type of email account you are adding:
- Import emails from my other account (POP3): If you want Gmail to download your emails from the other account.
- Link accounts with Gmailify: If your provider supports Gmailify, this option will link your account to Gmail’s features (e.g., spam filtering and conversation view).
Select your preferred option and click Next.
Step 7 - Enter Account Details
- Username: Your full email address (e.g., yourname@yourdomain.com).
- Password: Enter the password for the email account you are adding.
- POP Server: If you're using POP, enter the server details provided by your email provider (e.g., mail.yourdomain.com for Acorn Media).
- Port: Use port 995 for POP3.
- Tick the box for Always use a secure connection (SSL) when retrieving mail.
Click Add Account once you've entered the information.
Step 8 - Set Up Email Sending (Optional)
After your email account is added, Gmail will prompt you to set up sending emails from this account. You can:
- Send mail as: Choose whether to send emails from this account through Gmail.
- SMTP Server: Enter the SMTP server details (e.g., smtp.yourdomain.com for Acorn Media).
- SMTP Port: Use 465 (SSL).
- Username: Your full email address.
- Password: The password for your email account.
Click Add Account to complete the setup.
Step 9 - Verify and Finish Setup
Gmail will send a verification email to your added account to confirm the setup. Open the email and click the confirmation link to verify the addition.
Step 10 - Start Using Your Account
Once verified, your email account will be fully integrated with Gmail. You can now send and receive emails from your added account within Gmail.
Setting Up Your Email on an Android Phone
Follow these steps to set up your email account on your Android phone:
Step 1 - Open the Email App
On your Android device, open the default Email app or Gmail app, depending on your preference.
Step 2 - Go to Account Settings
- If you’re using the Email app, tap on the menu icon (three horizontal lines) in the top-left corner. Then tap on Settings.
- If you're using the Gmail app, tap the menu icon (three horizontal lines) in the top-left corner, then scroll down and select Settings.
Step 3 - Add Account
- In the Email app, select Add Account at the bottom of the settings screen.
- In the Gmail app, tap Add Account and then select the type of account you wish to add (e.g., Google, Outlook, Exchange, or Other).
Step 4 - Enter Your Email Address
Type in the full email address you wish to add (e.g., yourname@yourdomain.com). Tap Next.
Step 5 - Choose Account Type
Choose the type of email account you want to add:
- If your email was created by Acorn Media as part of your website package, select IMAP for email syncing across devices.
- For other email types like Google or Outlook, select the appropriate option.
Step 6 - Enter Your Password
Input the password associated with the email address you’re adding. If prompted, select Sign in or Next.
Step 7 - Configure Server Settings (If needed)
If the account isn’t detected automatically, you’ll need to enter the incoming and outgoing server settings manually:
- Incoming Server (IMAP): mail.yourdomain.com
- Port: 993
- Security: SSL/TLS
- Outgoing Server (SMTP): smtp.yourdomain.com
- Port: 465 (SSL)
- Username: Your full email address (e.g., yourname@yourdomain.com).
- Password: The password for the email account.
Step 8 - Set Account Options
Choose your sync options, such as how often the email app checks for new messages (e.g., every 15 minutes) and whether to sync contacts and calendar. Tap Next.
Step 9 - Set Account Name
You may be prompted to give your account a name (e.g., Work Email or Personal Email) and set a display name that will appear on outgoing emails. Tap Next when ready.
Step 10 - Complete Setup
Once the settings are verified, the setup process will be complete. Tap Finish or Done to start syncing your emails.
Step 11 - Start Using Your Email
Your email account is now added to your Android device. You can start sending and receiving emails directly from your phone.
Adding Your Email Account to an iPhone
Follow these steps to set up your email account on your iPhone:
Step 1 - Open Settings
On your iPhone, open the Settings app.
Step 2 - Go to Mail Settings
Scroll down and tap Mail. Then, tap Accounts under the Mail section.
Step 3 - Add Account
Tap Add Account and select Other if your email provider is not listed.
Step 4 - Enter Your Email Information
Under the Mail section, tap Add Mail Account. Enter the following information:
- Name: The name you want to appear on outgoing emails.
- Email: Your full email address (e.g., yourname@yourdomain.com).
- Password: The password associated with your email account.
- Description: A description for the account (e.g., "Work Email").
Tap Next.
Step 5 - Configure IMAP Settings
Since Acorn Media emails use IMAP, under Incoming Mail Server, enter the following:
- Host Name: mail.yourdomain.com
- Username: Your full email address (e.g., yourname@yourdomain.com).
- Password: The password for your email account.
Under Outgoing Mail Server (SMTP), enter:
- Host Name: smtp.yourdomain.com
- Username: Your full email address.
- Password: Your email password.
Tap Next.
Step 6 - Save and Sync
The settings will be verified. If everything is correct, tap Save. Your email account will be added and start syncing with your iPhone.
Step 7 - Set Sync Options
You may be prompted to choose what you want to sync with your iPhone, such as Mail, Contacts, Calendars, and Notes. Select your preferences and tap Save.
Step 8 - Start Using Your Email
Your email account is now added to your iPhone. You can start sending and receiving emails directly through the Mail app.
